To provide each student at ISC with an exceptional experience throughout their stay by delivering first-class customer service, organising engaging activities, and promptly addressing student concerns and needs.
To ensure each student, for the duration of their stay at the ISC, has access to an exceptional experience, through first-class customer service, planned activities and by being responsive to students’ concerns, and requirements.
In this role, the incumbent will be the first point of contact for students, parents and visitors to the ISC either face to face, by phone or by email. They will be responsible for managing student data from pre-arrival to alumni, handling ad-hoc requests while ensuring compliance with data protection laws.

ABOUT THE ROLE
- Assure all visitors to the ISC are greeted in a courteous and professional manner. Any queries raised by visitors, students or parents are handled professionally and efficiently regardless of whether they are received by phone, email or in person.
- Maintain a level of support to Heads of Department and staff around general administrative tasks that allows them to perform in their roles without any delays or obstacles, including providing cover for other members of staff when absent and during peak periods.
- Maintain the highest level of administrative and practical support to students as required, including producing student correspondence (e.g. bank letters, police registration, study confirmation), handling queries on practical matters (e.g. accommodation, visas) and ensuring content on noticeboards and breakout areas are relevant.
- Organise secretarial duties for the relevant committees and Centre governance structure to comply with Quality Assurance policies and procedures.
- Assure the purchase of student and centre supplies (e.g. stationery/sundries/kitchen supplies) including marketing materials and merchandise and supplies for students and staff events are ordered in good time to allow the smooth running of the Centre and Events.
- Monitor the performance of IT systems and software across the Centre that will involve troubleshooting in the classroom, all other office technologies as well as supporting staff and students. Working closely with the relevant IT teams in the University and Study Group and participate in the network eChamp community.
- Maintain accurate student data on all the relevant databases and systems for the Study Group and the University. This will involve working with teams outside of the Centre to ensure they have all the relevant information relating to the Centre.
- Organise the production of various reports throughout the student journey using various systems, ensuring what is produced is to a quality standard and accuracy and distributed to the relevant audience.
- Monitor student attendance in relevant systems to allow academic staff to take registers, contact students where appropriate, run regular reports and ensure relevant stakeholders (students, parents, agents and sponsors) are informed accordingly and in line with visa regulations.
- Assure during exams time that relevant stakeholders (UCD student support, External Examiners etc.) are engaged, papers are printed in a timely manner and the storing and archiving of all the relevant documentation is carried out effectively.
- Monitor relevant tasks in relation to the academic calendar such as the release and closure of assessment screens and assignment submissions.
- Organise data requests from previous students, universities, and sponsors (as per GDPR regulation).
- Monitor and handle queries relating to refund requests of unused fees.
- Assure the process for student arrivals, induction and induction activities are coordinated involving all the relevant resources. For students that do not arrive or are late arriving to the ISC, this role will need to ensure that the relevant information has been provided to them in a clear and timely manner, to ensure they are clear about what they must do.
- Identify and plan the student experience activities on Campus (e.g. societies, trips and engagement with local events and Building Futures activities).
- Assure student involvement in Staff Student Committee, Student Council, and any other network committees. Be an active member of the Staff Student Committee.
- Organise students in transition activities and immersion events with UCD.
- Assure students are sign posted to appropriate welfare support within the university and with the ISC network and that all student facing policies and other necessary information is kept up to date and available via the Virtual Reception on the VLE.
- Maintain excellent relationships with the student body and members of staff in Centre and across Study Group in order to promote the ISC in the best way possible.
- Organise and deliver relevant training for new staff to the Centre.
- Support the Professional Services Manager as required and provide support and cover when necessary.
- Where appropriate be the main contact for the centre on relevant network projects.
