JOB OVERVIEW

The HRMS Coordinator is responsible for the technical administration, configuration, maintenance, and optimization of the organization’s Human Resource Management System (HRMS). This role acts as the system owner for day-to-day HR technology operations, ensuring system stability, data integrity, integrations, reporting accuracy, and compliance.
 
The position requires strong technical acumen, advanced data management skills, and the ability to collaborate with HR, IT, Payroll, Finance, and external vendors to drive system efficiency and automation.

ABOUT THE ROLE

HRMS Technical Administration

  • Administer and maintain the HRMS platform, ensuring system availability and optimal performance.
  • Configure system modules, workflows, business rules, approval hierarchies, templates, and access controls.
  • Manage user roles, permissions, and security profiles in line with data governance policies.
  • Perform mass data uploads, data corrections, and system updates using advanced Excel tools.
  • Maintain system documentation, configuration logs, and change management records.
System Configuration & Enhancements
  • Lead configuration changes, structured releases, and continuous system enhancements.
  • Translate business requirements into technical HRMS solutions.
  • Conduct User Acceptance Testing (UAT), regression testing, and system validations.
  • Coordinate with vendors and IT teams for upgrades, patches, and new module implementations.
  • Support system integrations with payroll, ATS, finance systems, and other third-party tools via APIs or data interfaces.
Data Management & Reporting
  • Ensure high standards of data integrity, accuracy, and system governance.
  • Conduct periodic data audits and reconciliation exercises.
  • Develop and maintain standard and ad-hoc HR reports.
  • Create dashboards and HR analytics reports (headcount, attrition, leave, compensation data).
  • Support payroll processing through system-based data validation and extraction.
  • Optimize reporting capabilities using advanced Excel functions (Pivot Tables, VLOOKUP/XLOOKUP, data validation, etc.)
Compliance & Data Security
  • Ensure compliance with GDPR and applicable local data protection regulations.
  • Maintain audit trails, system logs, and secure data storage protocols.
  • Support internal and external audits related to HR data and system controls.
  • Monitor and enforce role-based access controls and segregation of duties.

Process Improvement
  • Identify opportunities to improve HRMS processes and automation.
  • Create SOPs and user guides for HRMS processes.
  • Provide training to HR users and managers on system functionality.



ABOUT YOU

  • Bachelor’s degree in information technology, Human Resources, Business Administration, or related field.
  • 2–5 years of experience in HRMS administration or HR technology support.
  • Hands-on experience with HR systems such as Workday, SAP SuccessFactors, Oracle HCM, Darwin box, or similar platforms.
  • Strong proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, data validation, basic macros preferred).
  • Experience with system integrations, APIs, or data migration projects is an advantage.
  • Understanding of payroll data structures and HR compliance requirements.
  • Experience working cross-functionally with HR, IT, and vendors.
