JOB OVERVIEW

The Payroll Specialist supports the Payroll Manager in the accurate and timely delivery of bi-weekly and monthly payrolls across the APAC region, while providing payroll support for EMEA, North America, and the Rest of the World (ROW). The role is responsible for maintaining payroll systems, ensuring compliance with applicable payroll legislation and company policies, and managing payroll-related processes from start to finish.

Key responsibilities include preparing and processing payroll, maintaining payroll records, managing payroll systems, performing payroll reconciliations, journals, and controls, and ensuring the accurate administration of pensions, employee benefits, statutory deductions, and year-end payroll activities. The Payroll Specialist works closely with Human Resources, Finance, IT, external payroll providers, and employees to resolve payroll queries and ensure a seamless payroll experience.

ABOUT THE ROLE

Payroll systems and processes
  • Maintenance of the payroll system, administering changes to employee data, updating for starters and leavers and variations to contracts for APAC regions and supporting other regions.
  • Ensuring high levels of quality by supporting and reviewing input data and regular reconciliation checks with internal systems.
  • Processing monthly pay claims, timesheets and additional ad-hoc payments. This includes support in processing the SIP (Sales Incentive Plan) bonus schemes that the Study Group operate.
  • Processing payroll in ADP, Cloudpay and Activ payroll reviewing all inputs and checking payslips and payroll reports.
  • Liaising with Human Resources, Centres and Partner Agencies to ensure that all data, updates and claims are received in a complete and timely manner.
  • Prepare and review a variance analysis for each payroll to distinguish all changes made from prior months.
  • Continue and maintain a strong relationship with existing payroll vendors.
Reconciliations and Controls
  • Prepare monthly reconciliations of balance sheet accounts, working closely with the finance/accountancy team. Ensure static data is regularly reviewed.
  • Prepare and review audit control reports for changes to employee and bank data.
  • Ensure compliance with all legal and regulatory compliance.
  • Support enquiries and investigations as required.
Relationship Management
  • Develop and maintain internal relationships throughout the centres and functional departments.
  • Maintain relationships with Human Resources in North America, Brighton, London and Singapore. Liaise with auditors at interim audit and final audit.
Project Management
  • Supporting the Payroll Manager by contributing to continuous process improvements.
  • Identify and undertake ‘added value’ project work to improve the quality of data held in the systems and provide a better user experience for employees.
ABOUT YOU
  • Payroll experience or qualifications and training – CIPP/AAT
  • 2+ years’ experience/training preferable.
  • Experience and knowledge of APAC payroll (Singapore, Australia and New Zealand)
  • Using a range of finance/payroll systems
  • Experience in processing overseas payrolls and advantage
  • Good working knowledge of accountancy systems (ADP Freedom, Cloudpay, Activ payroll and ADP Workforce Now would be an advantage)
  • Ability to apply payroll rules and regulations.
