JOB OVERVIEW
The Executive Assistant will provide high-level administrative, organisational, business support & senior leadership team at Study Group. The role will act as a trusted point of coordination, ensuring effective management of the Senior Leadership schedule, priorities, meetings, communications, and key business activities.
The ideal candidate will be highly organised, proactive, and professional, with strong communication and stakeholder-management skills.
ABOUT THE ROLE
- Provide high-level executive support to the Senior Leadership , enabling effective prioritisation and execution through proactive diary, travel, stakeholder, and meeting management.
- Support the Senior Leadership in the preparation, coordination, and delivery of key business reports, presentations, reviews, and strategic communications.
- Drive effective governance and coordination of key management forums, including business reviews, quality reviews, leadership meetings, and other strategic forums.
- Coordinate meeting agendas, minutes/MOMs, and action tracking, ensuring clear ownership, timely follow-up, and visibility of progress against agreed priorities and commitments.
- Provide project coordination and ad-hoc project management support for strategic SE initiatives, helping to drive timelines, stakeholder alignment, deliverables, and successful execution.
- Act as a key coordination link between the Noida office and the wider Study Group organisation, strengthening communication, collaboration, visibility, and engagement across teams and locations.
- Support the planning and coordination of senior stakeholder visits, managing end-to-end travel arrangements, agendas, onsite logistics, and stakeholder requirements to ensure a seamless experience.
- Oversee executive expenses and travel administration, ensuring accurate and timely processing, reimbursement, and compliance through effective use of Concur and related processes.
- Establish and maintain monthly and annual expense tracking and reporting, providing visibility of expenditure, supporting budget management, and identifying opportunities for improved cost control.
- Proactively anticipate the Senior Leadership's priorities and business requirements, ensuring key actions, deadlines, meetings, and stakeholder commitments are effectively coordinated and progressed.
- Contribute to continuous improvement of executive and management processes, identifying opportunities to streamline ways of working, improve communication, and enhance operational effectiveness.
- As a newly established role, responsibilities and priorities will evolve in line with business needs, with a focus on increasing strategic impact, cross-functional collaboration, and executive effectiveness.
- Bachelor’s degree in Business Administration, Management, Communications, or a related discipline.
- Ability to anticipate the needs of senior leadership, manage competing priorities, and proactively support effective decision-making and execution.
- Highly organised with strong attention to detail and the ability to manage multiple deadlines, meetings, projects, and priorities simultaneously.
- Strong interpersonal and relationship-building skills, with the confidence to engage effectively with senior leaders, internal teams, and external stakeholders.
- Excellent written and verbal communication skills, with the ability to communicate clearly, professionally, and appropriately across different levels of the organisation
- Understanding of organisational priorities, commercial considerations, governance, and operational processes, with the ability to connect day-to-day activities to wider business objectives.
- Strong ability to coordinate projects and initiatives, track deliverables, manage timelines, identify dependencies, and ensure actions are progressed to completion.
- Strong understanding of expense management, budget tracking, travel processes, and financial controls, with a focus on accuracy and cost effectiveness.
- Proficient in Microsoft Office/365 and relevant business systems, with the ability to use technology effectively to improve organisation, reporting, communication, and workflow.
