JOB OVERVIEW
As a Senior HR Shared Services Specialist, you will drive operational excellence by owning the end-to-end delivery of HR services globally. You will serve as a subject matter expert and a strategic partner to internal stakeholders, ensuring that our HR operations are not only efficient and compliant but also scalable for future growth. Your role is pivotal in transforming the employee experience through process optimization, data-driven insights, and high-touch stakeholder management.
ABOUT THE ROLE
- Benefits enrolment: Assist new hires with benefits enrolment processes, providing guidance on available options and answering questions related to healthcare and company offered medical insurance.
- HR Process Management: Own and optimize the HR lifecycle processes post-onboarding. This includes governing the workflows for data management, offboarding, and lifecycle changes to ensure they are seamless, automated where possible, and globally consistent.
- Data Accuracy and Integrity: stablish and maintain rigorous data entry standards and audit protocols within the HRIS. You are responsible for the "source of truth," ensuring that all employee data is compliant with global data privacy regulations (e.g., GDPR) and internal audit requirements.
- Compliance: Proactively monitor and interpret changes in local labor laws and regulations across all operating regions. You will lead the implementation of necessary process changes to ensure the organization remains fully compliant and minimizes legal risk.
- Employee Support: Serve as the primary escalation point for sensitive or high-complexity employee inquiries. You will manage the most difficult cases with a high degree of empathy and professionalism, while also analysing inquiry trends to improve self-service resources.
- Collaboration: Drive alignment between HR, Payroll, Talent Acquisition, Talent Integration, Finance, and IT. You will lead regular syncs with these departments to ensure that HR operations support broader business objectives and that data flows between systems (e.g., from HRIS to IT) are flawless.
- Process Improvement: Act as a change agent by continuously identifying and implementing improvements to HR workflows. You will leverage data and feedback to reduce cycle times, eliminate manual work, and enhance the overall employee experience through automation or Lean methodologies.
- Documentation & Reporting: Develop and maintain a comprehensive library of HR standard operating procedures (SOPs). You will also deliver sophisticated reports and dashboards that provide leadership with actionable insights into workforce trends and operational KPIs.
- Stakeholder Management: Manage expectations and relationships with senior leadership and HRDDs. You will act as a trusted advisor on HR operational matters, ensuring that stakeholders are informed of process changes, compliance risks, and request progress.
- Previous HR Operations experience of working in a global HR Environment
- Experience of working with a HR ticketing system.
- Experience of using MS office suite to produce letters, record data
- Advanced experience with BambooHR (as an HRIS) and ServiceNow (specifically the HR Service Delivery module) is strongly preferred. Candidates should be comfortable managing complex workflows and case management within these platforms.
- Bachelor’s degree preferably in Human Resources, Business Administration, or related field.
- Good Communication skills (Verbal/Written)
- 5+ years of experience in HR operations or a similar role within a global organization.
- Strong understanding of HR processes and best practices, including onboarding, offboarding, data management, and compliance.
- Proficiency in HRIS systems and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
- High level of attention to detail and accuracy.
- Ability to manage multiple priorities and thrive in a fast-paced environment.
- Proven problem-solving and analytical skills.
- Experience working in a shared services or centralized HR environment is preferred.
- Excellent time management skills.
