The Student Experience Exams and Progression officer is a key role for student success at the International Study Centre for the University of Strathclyde. This role works closely with both the Student Experience and Academic teams as well as University Link tutors and External Examiners to ensure assessments are prepared, scheduled, and run according to Centre and University rules and regulations. Responsibilities also include ensuring students are on the correct programmes and supporting student progression and transition to the University of Strathclyde.
The post-holder will be involved in ensuring that students progress both term to term and onto their chosen University progression degree, by assisting with transition/immersion activities, change of degree requests, and on occasion providing student intervention or guidance if required.
The post-holder will also be involved in some of the day-to-day Student Experience Office administrative tasks, such as typing documents, taking minutes, scheduling meetings or responding to student enquiries.

ABOUT THE ROLE
  • Act as the ISC’s Examinations Officer.
  • Liaise with academic managers, tutors, students and University of Strathclyde Link Tutors in respect to assessment and examination requirements, entries and results.
  • Communicate to External Examiners, Link Tutors and University of Strathclyde academic support office, a timetable of assessment and exam board meetings annually, with termly reminders targeted by attendance requirements.
  • Ensure assessments, exams and mark schemes are produced and sent to link tutors and external examiners before use and that both assessment and examination sessions are run in accordance with the ISC’s assessment regulations.
  • Present on the academic regulations process to large groups of students.
  • Ensure students are entered for relevant summative assessments and exams, including resits and reattempts.
  • Prepare assessment and exam timetables, registers, and seating plans (if appropriate).
  • Oversee verification process of assessments.
  • Prepare invigilation timetables, co-ordinate and schedule invigilation and coordinate the utilisation of exam venues (if appropriate).
  • Liaise with Welfare Officer and HoSE regarding extenuating circumstances as necessary.
  • Ensure the security, collation, distribution, collection and archiving of assessments, examination scripts and documentation.
  • In collaboration with Subject leads ensure collation and preparation of assessments (PAB packs) for external examiners.
  • Coordinate the sign off process for all assessment activities.
  • Minute Exam Board and Curriculum Committee meetings.
  • Manage release and closure of assessment screens in line with the academic calendar.
  • Ensure the secure storing and archiving of exam records including exam papers, attendance records and invigilator reports.
  • Ensure accurate recording of assessment and examination results.
  • Create and present data driven reports and statistical analysis as required.
  • Oversee production and distribution of end of term reports, transcripts, etc. for students and stakeholders.
  • Oversee production of documents and papers for Committees and Boards, with particularly responsibility for MAB/PAB.
  • Maintain up to date knowledge of progression routes/courses, entry requirements and variations and be able to advises students on this matter.
  • Liaise with HoCP and Data Officer in the administration of the change of degree process and with students and UoS Faculty staff.
  • Organise the transition process for students and liaise with students and the UoS Admissions staff.
  • Monitor and report on the status of applications, offers and progression route ensuring students and other stakeholders are informed.
  • Present on the progression process to large groups of students.
  • Counsel students individually as required in liaison with Head of Subjects, HOC and UoS Faculties etc. on options and offers for progression.
  • Assist the HoSE and HoC to analyse grades and help to create individual progression advice based on a progression strategy.
  • Send out results to UoS following the PAB and negotiate any discretionary progression or other unusual cases.
  • Assist HoSE with updated reports for university committees and faculties.
  • Working with academic team in organisation of student academic University immersion events.
  • Foster positive relationships with students and deal with their requests and concerns in a professional and prompt manner.
  • To provide student-facing advice and support at the Student Services Helpdesk/ respond or redirect emails coming into the Student Advice email account.
  • To participate in student activities and present information to new arrivals, take part in induction week
  • Minute student/staff meetings on occasion
  • Support engagement with Building Futures charity
  • Support Senior Management Team as required.
  • Provide student-facing advice and support at Student Services eg. Learning Conversations, Ad-hoc meetings, assemblies, general enquiries etc. if required
  • Facilitate the induction process and arrivals with the Student Experience Team. Foster productive relationships with the student body and members of staff.
  • Promote and safeguard the welfare of students.
  • Any other duties as directed by the Head of Student Experience or the Centre Director

ABOUT YOU
  • Higher Mathematics & English (Nat 5 or relevant experience will be considered).
