This position is based in Singapore, the Asia Head Office for Study Group, reporting to the Executive Director of Student Acquisition, to oversee and manage the smooth running of the day-to-day operations of the office and support in employee activities as required in the job description. 

ABOUT THE ROLE
  • Manage all office administrative functions including purchase of all office supplies and stationeries.
  • Support procurement in management of service providers (contractors/vendors) and negotiations for office lease, office equipment and supply.
  • Manage contractor and vendors for office maintenance, office space planning, renovation and relocation, and coordinate with design companies,  
  • Work within budget allocated for office management related items or projects.
  • Optimize facility management budgets in the region.
  • Manage relationships and being the first point of contact with service providers.
  • Ensuring that all purchases are invoiced and paid on time.
  • Coordinate meeting logistics – Organize meeting rooms, supplies, writing materials, AV needs, and/or meals.
  • Building facilities management: fire drill, office maintenance, repairs, air-con extension etc  Support Health and Safety Compliance, including Fire Warden responsibilities and related awareness and training program such as First Aid and AED.
  • Operational matters such as issuance and retrieving (building access cards, set up for new hires etc)
  • Facilitate internal communication (e.g. distribute information).
  • Support in planning and execution of employee engagement program and company events such as festive celebrations, birthday celebrations, networking events, and annual dinner and dance celebration. • Handle receipt and mailing of letters, parcels etc
  • Any other work as assigned by the line manager. 
ABOUT YOU
  • A Diploma/Degree holder with minimum 4 to 6 years of secretarial experience in an international working environment
  • Exceptional knowledge and experience working with PowerPoint, Excel, Word, Teams, Outlook and other Microsoft applications.  
  • Confident and able to work on own initiative with autonomy and minimum supervision.
  • Highly discreet and used to working with highly sensitive and confidential information.
  • Excellent oral, written, numerical, articulation and communication skills.
  • Possess excellent time management skills and able to work with demanding schedule and delivery deadlines.
  • Flexible to work with multiple personalities and with all levels of management.  
  • Passionate for outstanding customer experience and prepared to go the extra mile in delivery support with high standards.
  • Strong Team Player with collaborative mindset
  • Detailed oriented mindset.
  • Ability to deftly handle the unexpected, working at short notice and across multiple time zones.
